A well-prepared RFQ (Request for Quotation) shortens the purchasing process and makes supplier offers genuinely comparable. Asking only “What is the price for 10 tonnes of rock salt?” is usually not enough for an international project.

1. Define the product

State the salt type, food or industrial application and whether you need fine, granular or coarse material. Attach an existing technical specification when available.

2. State the grain size

Where possible, provide the target millimetre range rather than only “fine” or “coarse.” If sieve distribution matters, include acceptance limits.

3. Define packaging

Net pack weight, bag type, cartons, pallets, shrink wrapping, private label and label language all influence pricing and production planning.

4. Provide quantity and annual demand

Estimated annual consumption can be useful in addition to the first order quantity, especially for longer-term production and packaging planning.

5. Give the destination country and port

FOB, CFR or CIF freight cannot be evaluated properly without a named port. Road or door-delivery projects need a clear destination place.

6. List required documents in advance

Product specifications, analytical reports, origin documents or destination-market certificates should be discussed during quotation, not after production. Requirements vary by product and country.

Final quotation comparison

Check that every price refers to the same product specification, packaging, quantity and delivery basis. A lower headline price may simply include a narrower logistics or documentation scope.
