1. Define the requirement

Document intended use, granulation, packaging, quantity, destination and required documents before requesting a quotation.

2. Request sample and documents

Confirm which commercial product the sample represents and review the product specification and relevant analytical documents where needed.

3. Complete technical approval

Approve particle size, appearance, process performance and packaging before the commercial PO.

4. Compare the quotation on the same basis

Quantity, packaging, Incoterm and delivery point can change price. Final pricing should match the approved technical configuration.

5. Purchase order and production approval

PO, artwork/private-label approval and document requirements should be finalized before production. Changes should be controlled in writing.

6. Pre-shipment check

Verify quantity, packaging, lots, pallets and documents against the order. A pre-shipment document review can be useful.

7. Review the first shipment

After arrival, evaluate product, packaging and documentation performance and record improvements for repeat orders.
